STARTING AT $49,714, PURSUANT TO THE RULES OF THE COLLECTIVE BARGAINING AGREEMENT
JOB SUMMARY:
Under the general direction of the Deputy Director of Communications, the incumbent is
responsible for all the administrative functions of the department including maintaining all files
and records, preparing letters, mailing and emailing preparations, ordering of supplies and
materials, and handling and resolving routine departmental inquiries via phone or digital
channels. Additionally, the incumbent is responsible for project tracking with the oversight of
their supervisor and assisting with simple graphic design activities.
ESSENTIAL FUNCTIONS:
1. Screens phone calls and other departmental inquiries – responding and referring for prompt
resolution.
2. Prepares letters, memos and other materials (paper or digital) for printing, signatures,
mailing or emailing.
3. Maintains departmental files and records.
4. Responsible for the preparation and tracking of check requests, purchase orders, supply
inventory and tracking print job progress as directed.
5. Opens, sorts and distributes mail within department.
6. Provides digital data reporting as needed within CSEA’s digital platforms used for Board of
Directors Reports and/or assists the Director in preparing reporting documents.
7. Provides assistance with simple digital communications, e-mailing of files, email blasts, basic
research through internet searches.
8. Provides assistance and back-up on intake/scheduling/tracking of graphic design projects as
well as simple layout work to support CSEA graphic and collateral production.
9. Provides proofreading assistance on all publications and other materials.
10. Performs related duties as assigned.
MINIMUM QUALIFICATIONS:
A High School diploma or the equivalent;
AND
4 years of appropriate senior secretarial and/or graphics experience (Mac OS/Adobe Creative
Suite) preferred. Ability to keyboard at least 40 wpm;
OR
A satisfactory combination of education and experience as determined by CSEA.
